Privacy Policy
This Privacy Policy explains what personal information Hangzhou Wanxiang Xunsheng Technology Co., Ltd. (杭州万像循声科技有限公司) (“the Company”, “we”, “us”) collects about you when you use SoundSeeker (the “Service”), how we use it, when and with whom we share it, and the rights you have.
Your audio assets, search queries, and project data are processed on your device. Our servers process only the personal information described in this Policy.
1. Scope and Controller
1.1 This Policy applies to personal information processed in connection with the Service, including the SoundSeeker desktop application, web access, and related tools.
1.2 Hangzhou Wanxiang Xunsheng Technology Co., Ltd. (杭州万像循声科技有限公司) is responsible for the processing described here. Our address and privacy contact are in Section 11.
1.3 If you use a version of SoundSeeker provided by an organization (e.g., a team or enterprise edition administered by your employer or school), that organization may be the controller for some processing; in that case, please consult their privacy notice.
2. Personal Information We Collect
The categories below describe the information we process:
2.1 Account information
- Email address (required) — to create your account and contact you about the Service.
- Phone number (optional in most regions; required where local regulation mandates) — for two-factor verification or account recovery.
- Display name (optional) — what we show in the product UI.
2.2 License and device information
- Machine identifier hash — a one-way hash derived from hardware identifiers, used to bind your license to your device. The raw identifier is not transmitted; only the hash.
- Operating system, application version, and locale — to deliver compatible updates and to localize the UI.
- Computer name — the name assigned to your computer, which may contain a personal name. It is sent during activation, trials and license refresh to identify devices in your account. It is used only for that device list.
2.3 Connection and security information
- IP address — observed at sign-in, license verification, and update checks; retained for a short period for fraud and abuse detection.
- Activation and license-check events — timestamps and outcomes (success / fail / rate-limited), used to detect license abuse.
- Login and authentication logs — used to investigate security incidents.
2.4 Payment information
- Order metadata — purchase amount, product, currency, billing country, and the order reference returned to us by Paddle.
- We do not receive or store full payment card numbers. Payment details are collected by Paddle (see Section 6.1).
2.5 Customer support information
- Support tickets — the content you send us (email, attachments) when you request help.
2.6 Optional diagnostic reports
- Sent only with your explicit consent each time, after you can preview them: application version, operating system and architecture, recent diagnostic logs and error information, your description, and the contact email you enter. Logs are redacted on your device but may still contain recent operations, search terms or file paths. The contact email is used only to follow up on that report.
2.7 Cookies and similar technologies (web/marketing site)
- See our Cookie Policy for the list of cookies set when you visit our marketing or account-management website.
3. Information We Do Not Collect
We have designed the Service so that the following information is not transmitted to or stored by our servers in the ordinary course of operation:
- The contents of your audio files;
- Your search queries inside the Service;
- Your project files and metadata kept inside the Service;
- A history of which sounds you played, dragged, or used in your projects;
- Web-browsing data unrelated to our Service.
DAW integrations process your searches and selected audio on your computer. General DAW search plugins do not read session structure, edit history or timeline layout. Pro Tools Bouncer also reads track names and types, session names and project folders locally to list tracks and complete a bounce. This information is not uploaded to our servers.
4. Purposes and Legal Bases
| Purpose | Information used | Basis where GDPR applies |
|---|---|---|
| Account, activation and license management | Account details, machine hash, computer name, platform and license events | Contract necessity |
| Purchase and support | Account and order details, support correspondence | Contract necessity; legal obligation for required financial records |
| Service security and abuse prevention | Connection, authentication and license logs | Legitimate interests in protecting accounts and preventing fraud, balanced against your rights |
| Updates and essential service notices | Account contact, application version and platform | Contract necessity; legal obligation where required |
| Optional diagnostic feedback | Information and contact email you choose to send | Consent |
| Comply with legal requirements | Information required for the particular obligation | Legal obligation |
Under China’s Personal Information Protection Law, we process information as necessary to perform your contract or legal duties, or with your consent, including separate consent where required. Required account and activation information is needed to provide those services; optional diagnostic reports may be declined. We do not make solely automated decisions with legal or similarly significant effects.
5. No AI Training
We do not use your personal information, audio files, search queries, or project data to train AI models.
6. Sharing and Recipients
We do not sell your personal information. We share it only with:
6.1 Merchant of Record (Paddle)
- Paddle.com Market Limited — our Merchant of Record and authorized reseller and the seller of record for your purchase. Paddle collects your payment, handles taxes, receipts and refunds, and is an independent controller for the payment data it collects, under its own privacy notice. We exchange with Paddle only the order metadata needed to provision and support your license.
6.2 Service providers
| Recipient | Purpose and information |
|---|---|
| Hosting and infrastructure providers | Operate account and license services; account, device, connection and license records |
| Email delivery providers | Deliver authentication and service messages; email address and message content |
| Cloudflare | Website delivery and security; request and technical browser information |
Entrusted providers process information only within the agreed purpose and scope, subject to legally required data-protection terms. Website storage is described in the Cookie Policy.
6.3 Other disclosures
We disclose necessary information to authorities where law requires, and to legal or accounting advisers when needed for a specific matter. If a merger or similar transaction changes the handler, we provide the required notice and require the recipient to continue protecting the information.
7. Your Rights
You may request access, copies, correction, deletion, an explanation of processing, withdrawal of consent, or restriction or refusal of processing. Portability applies where its legal conditions are met.
Where the GDPR or UK GDPR applies, you may also object to processing based on legitimate interests, restrict processing in the prescribed cases, and obtain portability where applicable. Where other privacy laws apply to our processing, you have the rights they provide. We do not sell personal information or share it for cross-context behavioral advertising.
Write to support@soundseeker.ai. We may verify your identity before responding. You may complain to the competent supervisory authority. Withdrawal of consent does not affect processing before the withdrawal. Deleting information needed for account or license services may prevent those services.
8. Children
8.1 You must meet the age requirement in Section 2 of the Terms of Service to use the Service on your own. We do not knowingly collect personal information from children under 16 without consent from a parent or legal guardian.
8.2 Where we process the personal information of a minor under 14 subject to China’s Personal Information Protection Law, we obtain the consent of the minor’s parent or other guardian.
8.3 If you believe a child has provided personal information without the required consent, contact support@soundseeker.ai.
9. Location and International Processing
The Company is based in China, and Cloudflare provides website delivery through its global network, so personal information may be processed outside your country. Where a transfer requires safeguards or consent under applicable law, we use them. Contact support@soundseeker.ai for information about the safeguards that apply to you.
10. Retention
| Information | Retention period or criterion |
|---|---|
| Account and device/license records | While needed to provide your account and purchased license; deleted when no longer needed or deletion is legally required |
| Security and authentication logs | For the period needed to detect and investigate abuse, subject to mandatory log-retention requirements |
| Order and financial records | For the period required by the applicable accounting, tax and transaction-record laws |
| Support correspondence | Until the request is resolved and any necessary follow-up or actual dispute is complete |
| Optional diagnostic reports and the email entered with them | Up to 90 calendar days, then deleted |
Backup copies are overwritten in the ordinary backup cycle; until then they are only stored and kept secure. When a retention period ends, we delete or anonymize the information.
